We are looking for an Administrative Assistant with great administrative and communication skills. An Administrative Assistant is expected to be a conceptual thinker with excellent organizational and time management skills. You must be reliable and should accurately follow instructions with the ability to multitask and acclimatize in a fast-pace environment. This position will support both Human Resources and Finance in administrative tasks. To be successful in this position, candidates should be professional, respectful, and attentive while also being accurate. They should be willing to meet each challenge and task directly.


  • Payroll:
  • Ensure all timesheets are verified and necessary corrections are made
  • May assist with payroll functions including answering employee questions and correcting timesheets
  • Recruitment/Hiring:
  • Coordinate with marketing and Brand to get the new job openings on the website
  • Create Instagram posters for job postings
  • Complete reference and background checks
  • Prepare offer letters for review by HR Manager
  • Prepare job scopes for HR Manager to review and finalize
  • Post jobs to iHire
  • Other HR Responsibilities:
  • Check for weekly unemployment claims and provide HR Manager with forms to complete
  • Manage employee boot stipend tracking and vouchers
  • Ensure the office is appropriately stocked with employee snacks, coffee, etc.
  • Oversee daily breakfast delivery
  • Schedule cleaning rotations for office
  • Help maintain organized and up-to-date HR files
  • Perform HR file audits quarterly to ensure that all required documents are collected and are maintained in employee files
  • Assist in executing employee programs
  • Pull reports as needed for HR Manager
  • Assist HR Manager in maintaining up-to-date tasks in our internal communication platform
  • Maintains the integrity and confidentiality of human resources files and records
  • Perform other duties as assigned
  • Additional Responsibilities:
  • Work with Administrative Manager to make Accounts Payable entries
  • Deposit entry into QB
  • Bank Deposits
  • Order office supplies
  • Perform other duties as assigned


  • Prior related office experience is preferred
  • Excellent verbal and written communication skills
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations and information with tact, professionalism, and diplomacy
  • Excellent organization skills and attention to detail
  • Proficient with Microsoft Suite and/or Google Suite
  • Prior experience in Quickbooks Online is a plus
  • Ability to learn and adapt to new platforms and systems
  • Strong analytic skills
  • Excellent computer skills
  • Desire to be proactive
  • The ability to sit for long periods of time is a must
